Who handles your data
Data controller: Lithuanian Jazz Union (Lietuvos džiazo federacija), legal entity code 301110680, address Gvazdikų sodų 8-oji g. 20, LT-10240 Vilnius, e-mail info@jazzlt.lt. This page explains what personal data we collect on jazzlt.lt, why, who receives it and how long we keep it.
If you just read the website
The site has no analytics, advertising or social-network tracking. We use one necessary cookie only: it remembers your session so that the forms and the team's sign-in work, and it disappears when you close the browser or after a short time. Fonts and pictures come from our own server. YouTube and Spotify players are loaded only when you press "Listen" or "Watch"; until then those companies learn nothing about you. Like any website, our hosting provider keeps the addresses (IP) and times of requests in its technical server logs for a short time.
Request to become a member
The form asks for your first and last name, e-mail, telephone number, main instrument and (optionally) answers to two questions about your expectations and contribution. We also keep your consent, the time of the request and your IP address (to protect the forms from abuse). We use the data to administer your membership: to check whether you are already a member, to handle the request, to send e-mails and to take the membership fee. Legal basis: consent and entering into the membership.
Requests whose payment was never finished are deleted after 30 days; decided requests are deleted after a year (the member's data stays while you are a member).
Members and the membership fee
About members we keep the name, e-mail, telephone, date of joining, membership periods and amounts paid, and internal notes. Only signed-in team members can see them. We use them to administer the membership, to send reminders when a membership ends, and to confirm that an artist or group has enough members (also the "LDF member" badge on an artist's page).
The membership fee is processed online by Swedbank's payment system (through EveryPay). You pay on your own bank's website; we receive and keep no bank or card details, only the payment reference, amount and state (paid / not paid). We keep payment records as long as accounting law requires (usually 10 years).
The number of members is shown on the home page without names. Membership data is not published; the only public mark is "LDF member" next to an artist who is a member.
Checking a membership on the website
On the "Check your membership" page we send an e-mail only if the address is on the member list; the screen shows the same answer to everyone. We keep only an irreversible digest of the address and your IP address for 3 days, to limit the number of requests. In the artists' application form, under each line-up member, the page shows whether the name is on the member list (only "yes" or "no"); we do not store the name typed, only the IP address and time for 3 days.
Artist and group applications
The application asks for the name of the group or artist, the names and instruments of the line-up, the contact person's name and e-mail, descriptions, links and photos. Once the application is accepted, the profile (name, line-up, descriptions, links, photos) is published on the website; the e-mail is shown only if you ticked that you agree. Legal basis: consent. The application and related data are kept while the profile is published; on request we can remove the profile. Before publishing other people's photos or names please make sure they agree.
Team sign-ins and e-mails
For the team members who manage the website we keep the name, e-mail, password (encrypted only), sign-in places (IP and browser, 400 days), the log of actions (365 days) and copies of sent e-mails (180 days). We send e-mails from info@jazzlt.lt through our hosting provider. Older records are deleted automatically.
Who receives the data
Only those without whom the site could not work: the hosting and mail provider (Bacloud) and the payment system (Swedbank / EveryPay, when you pay). We do not sell data or use it for advertising. Some providers may process data outside the European Union; the safeguards required by law then apply.
Your rights
You have the right to access your data, to have it corrected or deleted, to restrict or object to its handling, to receive it in a portable format and to withdraw your consent at any time (this does not affect earlier handling). Write to info@jazzlt.lt; we will answer within a month. If you think your rights were violated, you may complain to the State Data Protection Inspectorate (vdai.lrv.lt).
Changes
We may update this policy; the current version is always published on this page. Last updated: 22 October 2026.
